<br />MELVI N MARK COMPAN I ES <br />MELVIN MARK PROPERTIES • MELVIN MARK BROKERAGE CO. • MELVIN MARK CONSTRUCTION CO. • MELVIN MARK DEVELOPMENT CO. <br />May 26, 1998 <br />Leonard Lodder <br />Arbudcle Costic Architects <br />303 State Street <br />Salem, OR 97301-3533 <br />RE: AUTFiORIZATION FOR ADDi i IONAL SERVICES <br />Dear Leonard: <br />It is my understanding that you are in the final stage of contract negotiations with Mazion County <br />and Sa1em Area Transit, and with the beginning of Design Development eminent, I just wanted to <br />follow up on last week's phone conversation regarding approvals for additional services. <br />I am awaxe that there is language in Article Three pertaining to approvals in the AIA contact. <br />While I'm sure it is standard business practice for Arbuckle Costic to obtain pre-approval on <br />work not included in the scope of the base contract, I thought it would be prudent to establish <br />procedures for approval very early in the design phase. We would ask that prior to proceeding <br />with any work, which your firm considers additional services, you submit a written proposal to <br />Melvin Mark which includes the following: 1) The specific scope of work as you understand it 2) <br />The cost of such work 3) The anticipated impact, if any, on the design schedule. After review, <br />we will consult with the owners to determine whether such work is outside the base contract and <br />is, in fact, necessary. If it is determined that the work should proceed, the owners will provide a <br />signed agreement accepting the proposal. Work should not proceed unless written approval is <br />obtained from the owners. <br />While there may be discussions on whether a task is, or is not, included as part of the base <br />contact, we hope +~hat this procedur~ ~,~i11 ssfeguard agair.st unanticipat~d costs, schedule impacts <br />and misunderstandings. <br />Sincerely, <br />, ~ <br />Craig R.
