Pearmine
Attn: Tom Mitchell
Randall Franke p. p, Box 7371
Don Wyant, Jr.
Salem, Oregon 97303
ADMINISTRATION
(503)588-5455
FAX (503-588-5495)
Dear Tom:
FACILITIES
MANAGEMENT
It is necessary to document the services provided by your company on August ,
(503) 588-5154 1998 to move the Support Services Department from the 5"' Floor of the Marion
FAX(503-373-4430)
County Courthouse to the Marion County Annex at 3150 Lancaster NE. our
HUMAN RESOURCES company was selected based on a low Re~uest for Pronosal. At the time of the
(503) 588-5165
FAX (503-588-5495)
award I informed you that you were not only the low proposal for hourly c arges
but because your estimated hours required for the move were considerably lower
PURCHASING 8
SERVICES than the other two vendors, I tested your proposal by calculating your rate against
(503) 588-5295 the hours estimated by the other two vendors. Your proposed was still lower than
FAX (503-373-4379)
one vender by slightly higher than the second.
COUNTY
ADMINISTRATOR
Jeff Davis
It was reported to me that three trucks, six workers and you began work at 8: am
and completed the move at approximately 10:45pm. We acknowledge that
Marion County only had one elevator available, but it hard to believe that it was
the single factor that prolonged the loading and unloading. As you know, we
were expecting a 10-person crew and expected to have our staff at the annex to
receive property about 10:00am. Had it not been for managers and staff who were
willing and able to stay, the move would have been further complicated by
Sunday hours and security issues at the Courthouse.
This letter is to inform you that the expectations for any future moves will be that
sufficient staff is provided to move the department within the hours of 7:OOam to
S:OOpm. This would include sufficient movers to load at least the first truck and
go forward to the new location and be unloading while others are still loading a
second vehicle at the old location.
~~~
100 High Street NE, Room 5321 .
