we were ready to move a department on Tuesday, it may be necessary to go ahead with the move. <br />~ ACTION: Elyn and Dan will meet with a representative of Fiscal to prepare them for some of <br />the possible vanables and to find out if Community and Fiscal need to move on the <br />same day. They will try to deternune if Fiscal can be moved in the middle of the <br />week. <br />Randy asked Elyn to use this meeting to discus the conditional use microwave process. He wants <br />Community Development to understand that we need their cooperation. <br />Dog Control: Dan has visited the new site for pog Control. He will get a floor plan to Marvin. <br />Lease Updates: Randy briefed the group on the status of the leases. Dan Berrey will draft the <br />lease for pog Control with tax exemption. Randy has rewritten the statement. Dan now has the <br />correct language for the lease agreement. <br />The lease on the Best building, now known as the Marion County Annex, is proceeding and we are <br />trying to take possession around March 20. The lease is fairly expensive. The cost per square foot <br />is around $1.20. We will spend somewhere between $150k -$200k to move in. We will not charge <br />the departments more than $1.OOsf. The exception is Public Works, who will pay the full cost, $1.20 <br />sf. They will also purchase the phone switch. When they move into their new building, we might <br />lease a switch for them and when the all departments move out of the Annex, return the purchased <br />phone switch to Public Works. Bob McCune will do a cost analysis to deternune the best way to do <br />this. <br />Public Works is making the same deal on the microwave tower. They will purchase it and charge us <br />a monthly fee. They have plans to use the microwave at another location, after we vacate the <br />building. These agreements are beginning to bring the costs down. <br />Randy is not prepared to say that he is not going to charge departments who are not on site for <br />storage space. <br />ACTION: Bob and Elyn will do a calculation for Randy on the amount the departments will be <br />paying in rent and the final cost of the move. This will be combined and charged <br />against the project. <br />Second, they will determine the amount of the subsidy that will not be paid by the <br />departments occupying the building. This will also be charged against the project. <br />Senator Building Keys: Each department will keep a master key after they move offthe block. <br />When the buildings come down these will be turned in. It was suggested that we may be able to <br />rekey the Medco locks and use them in the Annex. <br />ACTION: Dan will deternune if these locks can be used at the Annex. <br />Signage: Randy reported that we need to address signage for the Housing Authority entrance <br />to the Annex. It there are problems, it may be necessary to cut a door on the front of the building <br />for their customers. <br />
