Courthouse Square Management Staff Meeting <br />~ February 26,1997 <br />Present: Randy, Dan, Bob, Elyn <br />Randy opened the meeting with a status report from Elyn on the leasing of buildings. He said that <br />he thought we had a challenge of finding adequate office space, remodeling and getting everyone <br />moved. <br />Lease Update: Elyn reported that we received the lease for the Best building. Mike Hansen <br />is reviewing it. One of the surprises is that the parking may be an easement agreement. She still <br />needs to research how many spaces we will be allocated and the cost. <br />Action: Randy will call Dan Berrey to see if we are getting what we expect from the lease. <br />Elyn said there are still questions around the insurance. Randy is assuming that the building will be <br />self-insured. <br />Action: Elyn will call David to find out if we can cover a leased building under our insurance. <br />~ <br />Space Allocation: Dan briefed the group on the floor plans. He is about 900sf short. This is <br />without Dog Control in the layout. This equates to 3- 5% loss for each department. The other <br />option is to ask Public Works to use some of the warehouse space for storage. Randy said that if the <br />departments cannot work with this space, we may have to look for additional space far some of their <br />offices. There was discussion around the layout of purchasing, the mailroom and the copy center. <br />Bob suggested suspending some radiant heaters in the warehouse space. Randy said that we may <br />be able to move people in and refine the work space after they have moved in. Under this plan, the <br />only off-site space we need to lease is for pog Control. <br />Randy asked Elyn to meet with the departments to get their approval on the space allocation. Bob <br />suggested that PW, Building Inspection and Planning do their own layouts based upon the assigned <br />space. Dan will work on Fiscal and Dog Control. <br />Action: Elyn will set up a meeting with the effected departments and include other decision <br />makers from the departments. The floor plan will be distributed with a cover memo <br />prior to the meeting. Elyn will work with Dan to get the right information in the <br />memo. <br />Elyn will arrange for the utilities and support for the building. <br />~ Action: Dan will complete the floor plan immediately. <br />
