~ <br />Courthouse Square Manager's Meeting <br />Apri123,1997 <br />PRESENT: Randy, Richard, Elyn, Bob, Dan, Peggy <br />Randy opened the meeting by clarifying the bids Peggy received from First American Tifle and Key Title <br />Company for the escrow of Courthouse Square. Both bids were based on an approximate $2.3 million <br />purchase price. Owners Standard policy costs were about the same, but First American Tifle cost <br />included a re-issue credit of $714.00, making their bid lower. The escrow fees for First American were <br />only $200.00 versus Key Title escrow fee of $750.00. First American Tifle submitted the lowest bid on <br />escrow fees. <br />Vacating Senator Block: <br />Randy had a call from Dan Berrey regazding past due rent collections from remaining tenants in Senator <br />Hotel. Randy asked if letters regarding past due rent have been sent to remaining tenants. It was <br />requested a statement be put on their letter that Marion County will be conducting an inventory of <br />appliances and/or equipment of each apartment when it is vacated. Randy asked if Marion County has an <br />"inventory lisY' for properiy in the apartments. Bob had spoken with Becca and was given a verbal idea <br />of the type of equipment each apartment should have: i.e., stove, refrigerator, air conditioner. <br />ACTION: Elyn will rewrite the past due rent letters to the four rema~ning tenants and include the <br />statement regarding im~entory checks upon vacating the premises. <br />Keys: <br />An issue has developed concerning keys. Bob was given an envelope of keys for building, which <br />contained apartment keys, but the wine shop and liquor store keys were missing The owner of the liquor <br />~ store has turned in keys to Bob when he checked him out. However, the wine shop key was missing. <br />They will go through a hole in the wall to enter the wine shop for the abatement work. Keys to the <br />dentist office were available. This office is vacant and the abatement work was scheduled to move there <br />last night. <br />Bob reported that Jeff of Centurywest had given him a projected schedule for the abatement work to be <br />completed by the 23rd of May. Elyn mentioned that the residents of the apartments had until the end of <br />May to vacate, but it is felt the work can still be completed without affecting the apartments. <br />Sewage bill cleanup: <br />Elyn reported that the costs for sewage clean up was as follows: Roto Rooter $6,120 and another $1,500 <br />to sanitize. Dan Berrey will handle communicadons to Mike Liu, and Gordon will send demand letter. <br />ACTION: Verify that Dan will handle the communications. <br />Annea: <br />We are getting there on the move. Fiscal has moved in, and a nice "atta boy" was received by Bob who <br />passed it along to all crews. Bekins worked until midnight Friday and returned Saturday morning. Mike <br />& Don were hooked up by 3 p.m. on Sunday. John had toned out fiscal's communications and all were <br />running except for the changes in locations made after on-site. Everything is roughed in for housing & <br />public works. Public Works is scheduled to start their move today. <br />Elyn reported that each department had a role in determining their department's move. It was a staging <br />process worked out between departments and the movers. A crew from Corrections had been sent one <br />~ day to help with the move, but Tom deteimined that it was not a good e~erience. He is extending his <br />
