The report in general on the Annex is that all is going well. It was reported that Don, the
~, electrician, Mike and Leonard have been very helpful in the process so far. Randy commented
on a recent visit about how quiet it is and also heard this same comment from someone else.
Kudos went out to Dan for the planning layout and Dan also added that the departments were
fully involved in the process and everyone worked together.
An additional order for up to 6 pallets of partitions, 5 foot height, has been put in to help make
further improvements in partitioning in the public works area.
Burglar Alarm
Work had started on the burglar ala.rm system yesterday. The key pad has been relocated in the
hallway on the side entrance, some motion sensors are being deactivated and some are being left
in place. The question of periodically changing the code for building security was discussed. In
the event the alarm is set off, the alarm company calls facilities management's 24 hr service line
and sheriffs office. There also is a number to call at the monitoring facility to contact in the
event of a"false alarm". The burglaz alarm is tied in with the fire alarm panel.
ACTION: Bob will e-mail disarming code to Richard to be able to give to department heads in
the round table meeting this afternoon, then the departments can disperse this information to
employees as needed. Facilities management will check with Honeywell to see if County can
facilitate the code change or if it needs to be done by Honeywell. Bob will have Mike get
together with Richard to brief him for his 1:30 meeting today on alarm details.
Trash Outside Building
There have been observations of an accumulation of trash around the loading doc area. Will
public works litter crew come out to ta.ke care of this? Facilities management plans include
sending a grounds keeper out to handle this type of situation, but not sure if it will be daily.
ACTION: Richard to assess the situation a.nd then if we need to do some work in this azea, to
pass along the information to facilities management.
Noise Buffer in Conference Area
Fiscal has requested some type of accordion doors be mounted on the larger conference area
behind their office space. It is disruptive to fiscal especially when meetings are being
conducted. This option would be adding another expense.
ACTION: See if there are partitions available from the public works order and use partitions to
create a barrier that would help alleviate the noise level during meetings. Bob and Richard to
mvestigate.
Our goal is to minimize egpenses and work on alternative solutions to solve the problems as
they arise. Ra.ndy needs to get a handle on the total relocation budget and how it fits into the
total project budget picture.
ACTION: Randy to work on budget numbers.
Page 2 May 7, 1997
