<br />give each department an allowance for furnishings, and anything over and above that allowance, <br />~, the departments would pay for out of their budget. Using this approach, the departments would <br />have 2 years in advance to plan and work these costs into their budgets. This option would <br />relieve Randy of his worry about expenses and staying on budget. <br />From a budget standpoint, it is still a scary proposition. On paper it's a$35.5 million project <br />with about $2 million in contingencies and unknown environmental costs. One problem in <br />losing Dan involves the implications of his release of the architect a.nd contractor to work with <br />us. They are too committed in their investment to just walk away, but have made comments <br />about increased prices if Dan walks. We are working towards negotiating the closing settlement <br />for Dan to walk away. There has been great interest from all aspects about the opportunity of <br />bringing on a new project manager. I have concerns about the project status and the ability to <br />manage it. We will fast track the process to select a manager. The abatement and demolition <br />contracts and Dan's settlement situation have saved about $900,000 over budget estimates. We <br />will have to see what happens when we open bids on construction costs for the remainder of the <br />project. <br />Tree Removal <br />We will need a removal agreement and permit from the city of Salem for the removal of the <br />remaining trees on the Senator Block. This is not an wgent item, but will be coming up in the <br />ne~ two months. It should be similaz to work done on moving the fow magnolia trees. <br />ACTION: Randy will forward Jim Bolen, City Parks Department phone number to facilities <br />management to follow up and get paperwork going on this process. <br />VacaNng of the alley <br />We should also be receiving the ordinance from city of Salem on vacating the alley and turning <br />it over to Marion County. <br />Mail Receptacles <br />Richard is looking to placing three receptacles out at the Annex: one for Liberty House, <br />Neighbor to Neighbor and the Annex. We are also looking to put one on the first floor of the <br />Franklin Building. They are appro~mately $400 each. <br />ACTION: Richard to verify coordination with post office and that this a permanent agreeable <br />solution for mail distribution due to costs involved. Facilities management will install the <br />receptacles when ready. Elyn will check with the pazking lot owner to obtain permission to <br />install (anchor in cement). <br />Page 4 May 7, 1997 <br />
